Terms and Conditions
1. Payment
1.1 Payments for packages and consultations are payable upon booking. You may be offered installment payment options depending on the length of your package. In this case, the first installment will be due upon booking, and further installments will be taken the following month/s on the same date.
1.2 Payment is required at the time of booking to secure your package and consultation. Bookings are not confirmed until payment in full or the first installment has been made. Bookings will be held for 48 hours and will be released if payment is not received.
1.3 Costs cover the package or consultation only. Additional costs may arise if supplements or laboratory testing are recommended (please see below). These are optional and will be discussed during your consultation.
1.4 You agree to your payment method card details being saved on file upon submission of your first payment. Subsequent payments will be taken automatically on the dates specified in your programme/package installment plan.
1.5 In case of late payment or payment failure (due to an expired card or any other reason), we will issue an invoice for payment. If this invoice is not settled within 5 working days, we will attempt to process payment again using the saved payment method.
1.6 Late payments of over 5 working days may result in a 5% charge.
2. Cancellation and Refunds
2.1 Consultations within a package or programme:
2.1a Cancellations of a consultation can be made up to 24 hours prior to the consultation without deduction from your programme. Any cancellations made after 24 hours will incur a deduction of that consultation from your programme/package.
2.1b Refunds on programmes and packages:
Refunds for programmes and packages are not available once the initial or full payment has been made, except as required by law. Under the Consumer Contracts Regulations, you are entitled to a 14-day cooling-off period from the date of payment, during which you may cancel your programme and receive a full refund, provided that services have not yet commenced.
2.1c If you cancel within the 14-day cooling-off period and no services have been rendered, we will deduct a £50 administrative fee and the original card processing fee from your refund to cover costs incurred.
2.1d If you request that your programme or package begin within the 14-day cooling-off period and then cancel after services have commenced but before the 14-day period ends, a proportionate refund will be provided, reflecting the services already rendered. In addition, a £50 administrative fee and the original card processing fee will be deducted from your refund.
2.1e Payment plans may not be deferred or cancelled once the cooling-off period has expired. If you need to postpone the commencement of your programme or package, this will be agreed upon with the practitioner in charge of your case.
2.1f If required paperwork is not completed and returned by the specified date (typically 3 days before the consultation), your booking may be cancelled, and the consultation may be deducted from your programme.
2.2 Initial health assessments and one-off consultations:
2.2a Cancellations or rescheduling of an initial health assessment or a single one-off consultation are subject to the following conditions:
Cancellations or changes made before 48 hours of the consultation will incur a £50 administrative fee.
If a refund is requested, the original payment processing fee will also be deducted.
Cancellations made between 24-48 hours before the consultation will result in a 50% fee being retained.
Cancellations made less than 24 hours before the consultation will not be refunded, and 100% of the fee will be retained.
3. Consultation Format
All consultations will be held online via Practice Better Telehealth or Zoom, unless otherwise specified at the time of booking.
4. Medical Insurance
The Surrey Centre for Nutrition is not registered with private medical insurance companies. If your medical insurer agrees to cover consultation fees, all costs are payable by you to the clinic. Reimbursement from your insurer is your responsibility.
5. Nutritional Supplements
We recommend specific supplement brands based on their purity, quality, bioavailability, and effectiveness. While you are not obligated to purchase supplements through us, please note that the recommended quality may differ from those sourced elsewhere. Commission from practitioner suppliers may be split between the client and the practitioner.
6. Laboratory Testing
As part of the functional medicine approach, laboratory tests may be recommended to help tailor your treatment plan. These tests are optional, and their costs include an interpretation fee, which compensates for the practitioner’s time spent analyzing the results. The complexity of the tests will determine the fee.
7. Personal Data
Your personal data will be visible to all staff at the Surrey Centre for Nutrition, and your case may be discussed among clinical and administrative teams. If necessary for your treatment, data may also be shared with other healthcare professionals or organizations.
8. Protocols and Reports
We aim to send written protocols and reports within three working days following your consultation, but delays may occasionally occur.
9. Testimonials and Feedback
We may use feedback from consultations and forms submitted by clients in marketing materials, including testimonials. Only first names will be used in these testimonials.
10. Website Usage and Mailing List
Upon submitting a booking, inquiry, or contact form, your details will be added to our mailing list. You may unsubscribe at any time by following the link in our emails or by contacting us directly at enquiries@surreycentrefornutrition.com.
